Project and JIRA Administrator

 

We are looking for a Project and Jira Administrator to join our Instructional Services / Course Development team. As our Project and Jira Administrator, you'll provide overall project management to drive our course development process, working alongside our Instructional Designers and web development teams. Your role is to ensure we are on track for new online course builds and course maintenance across multiple university partners and to manage our cloud-based Jira instance to ensure that projects and costs are tracked accurately and reports are generated in a timely and efficient manner.

Responsibilities

  • Collaborate with Instructional Designers, our web development team, the launch team, and other internal stakeholders to define project scope and timelines that align and support our course development goals
  • Create, manage, and support all administrative functions (accounts, projects, users, and user permissions) associated with JIRA
  • Manage complex Jira workflows, project workflows, field configurations, screen schemes, permission schemes and notification schemes
  • Develop and or manage vendors to develop custom scripts/Excel macros to analyze JIRA data
  • Configure and manage JIRA plugins (TEMPO, Big Picture, etc.)
  • Provide user management, training, documentation and support for team members for JIRA, Tempo time tracking, Microsoft Teams, and other internal tools
  • Manage existing and future software projects that enhance the project workflow including requirements documentation, vendor management, and acceptance testing.
  • Manage departmental Teams channels and Sharepoint files structure and organization
  • Configure project plan templates within Jira projects based on direction from Managers and Senior team members.
  • Develop metrics, dashboards, reports, and advanced filters to provide leadership with meaningful operational/performance metrics and status reports
  • Build customized dashboards and views in JIRA
  • Generate financial reports
  • Manage workflow and the internal and external people responsible for tasks
  • Manage vendors, process payments, and track budgets
  • Manage adhoc projects, such as assisting with new academic partner launches

 

The ideal candidate has:

  • outstanding communication skills and the ability to cultivate and maintain relationships
  • extensive project management experience with relevant qualifications
  • tech savvy, especially when working with project management software
  • background with Jira Administration; Atlassian certs, a plus
  • the ability and know-how to juggle multiple projects and tasks with numerous internal and external stakeholders
  • strong presentation and facilitation skills
  • the ability to run meetings, clarify processes, brainstorm solutions, and assist in conflict resolution
  • incredible attention to detail and excellent organizational skills
  • strong commitment to quality standards and service
  • ability to work with multiple deadlines and multiple projects simultaneously in a fast-paced, changing environment
  • ability to adapt and to solve problems proactively, productively, and creatively
  • ability to synthesize information from multiple resources

 

Qualifications

Education: a minimum of a bachelor’s degree or commensurate experience; PMP Certification (a plus)

 

Experience:

 

  • 2+ years of experience as a JIRA administrator managing 100+ projects, complex workflows, and custom schemes.
  • 2+ years of project management experience, preferably tracking numerous simultaneous projects
  • 2+ years of experience managing budgets, processing invoices, and generating budget reports
  • 2+ years of experience managing external vendors
  • Proficiency in the use of Microsoft Office Suite including Outlook, Word, Excel, and Power Point. Extensive experience with Microsoft One Drive
  • People management (a plus)
  • Professional experience in higher education settings (a plus)
  • Microsoft Sharepoint Lists, Power Automate, and SSRS experience (a plus)
